Massey & Gail LLP, a litigation boutique with offices in Chicago, Washington, D.C., and San Francisco, is looking to hire a full-time Assistant Finance Manager in its Chicago office. The firm currently has 23 attorneys and is planning additional attorney hires.

The Assistant Finance Manager will report to and work closely with the firm’s Finance Manager. The firm has identified an initial set of responsibilities as well as additional responsibilities that would be fulfilled over time and as quickly as sensible. The firm’s objective is to hire an individual with the expertise, initiative, and interpersonal skills to take increasing responsibility for material parts of the Finance Manager’s current workload so that she can focus more on management reporting and firm analytics.

The Assistant Finance Manager’s initial responsibilities will include driving the preparation of the firm’s monthly billing process, including substantial interfacing with the billing attorneys. He or she will also be responsible for QuickBooks vendor payment processing, journal entries, and monthly bank account reconciliations. Medium term responsibilities would also include firm setup in e-billing platforms, adherence to client outside counsel billing guidelines, opening of new client matters, implementation of rate increases in the timekeeping software and client billing platforms, and providing ad hoc assistance to firm attorneys and clients. While the duties and responsibilities are primarily financial, some general office operation management and assistance are also part of this position.


  • BS degree in accounting or finance.
  • 3 or more years of experience with accounting software, preferably QuickBooks.
  • Proficiency with Excel and other MS Office Suite programs.
  • Experience in electronic billing processes, preferably in a law firm environment, is encouraged.
  • Strong organizational and analytical skills, and ability to handle multiple demands and prioritize tasks to meet deadlines.
